HR & Admin Coordinator
About the Job
We are seeking a versatile and detail-oriented HR & Admin Coordinator to support daily operations within the Human Resources and Administration functions. This role combines office management, administrative coordination, and HR support, ensuring smooth internal operations and positive employee experience.
Key responsibilities

Administrative & Office Management:
– Coordinate daily office operations, supplies, and vendor relationships.
– Organize meetings, travel arrangements, and internal events.
– Maintain office hospitality, cleanliness, and inventory.
– Oversee facilities maintenance, utilities, ergonomics, and furniture logistics.
– Manage filing systems, employee records, contracts, and correspondence.
– Support travel bookings, expense submissions, and purchase tracking.
– Welcome guests, manage access cards, visitor logs, and conference room setups.
– Ensure compliance with health and safety standards (first aid kits, drills, signage). -
Project Planning & Monitoring:
– Assist with employee onboarding and offboarding (documentation, access, orientation).
– Maintain HR databases, attendance records, and training logs.
– Support recruitment workflows: job postings, interview scheduling, candidate coordination.
– Assist with benefits administration and policy updates.
– Track certifications, learning plans, and employee development initiatives.
– Uphold confidentiality and data integrity in all HR and administrative processes.
Qualifications:
- 3–5 years of experience in administration, office coordination, or HR support.
- Strong command of Microsoft 365 (Outlook, Teams, Excel, Word, SharePoint).
- Excellent communication skills in English and French (spoken and written).
- Experience with accounting or HR systems (e.g., QuickBooks or equivalent) is an asset.
- Highly organized, reliable, and discreet; able to manage multiple priorities with professionalism.
